Get-away Auctions

Q:  How do I approach local businesses about donating items for a getaway?

A:  However you are most comfortable.  Some people are most comfortable with just asking!  If you are visiting the establishment as a customer, that’s even better.  Explain that you represent a nonprofit, La Leche League, and you are putting together a weekend getaway to publicize this wonderful community and hope they would donate xxx or yyy.  Ask who would be the person to talk to and is now a good time.  Often businesses, like museums, have a general policy and will give anyone who asks 4 free tickets or whatever is their norm.  Sometimes you may need to make an appointment with a particular manager or individual and occasionally they have paperwork for you to fill out.  If the establishment’s answer is no, ask if there is anything else they would be willing to donate.  Come prepared with the WBWC receipts for non-cash items so you can immediately give them a receipt.  Later you’ll want to send an official thank-you – perhaps using the WBWC thank you card with donor receipt.

Some other options are to phone the establishment or to send a donation request letter and then follow up with a phone call.  

Before beginning you may want to check the business or organization’s website for a community page.  Some businesses and organizations have specific guidelines for submitting donation requests.  Certain types of businesses receive a large number of donation requests (movie theaters and sports teams to name a couple) and only process requests if they are in a certain format and on a first come first serve basis.  If you don’t find specific guidelines, you can contact the manager or community and/or public relations person for the business by phone or by letter.  When contacting a restaurant or store, contact the manager during a non-peak business time and they will generally be much more receptive to your request.

Q:  How much of the auction proceeds will my Group receive?

A:  Groups donating getaways will receive a check for 50% of the final auction value of the getaway after expenses.  Expenses deducted will be Ebay fees, Pay Pal fees and shipping and handling of the item to the auction winner.
